Photographers Media Portal

Asset management for photographers

How do you deliver photos to your clients? Google Drive? WeTransfer? Dropbox? We have built a platform that you can brand, and that allows you to easily organise and search images, yet allow clients to download their shoot (and only theirs).

We have used all our experience as photographers, designers and web developers to create a digital media portal specifically for photographers.

We have been building websites and designing brochures for over a decade, and are regularly sent media via WeTransfer, Dropbox folders, Google Drive and countless others. But we are also photographers, so we’re as familiar with the issues faced when delivering our own images to others as we are searching through photos that are sent to us.

Silverless media portal can be branded with your colours, logo and fonts. You can organise images into folders and set permission levels to control who can see what. You can store high-res images, video and documents.

This means that you can deliver your photoshoots securely to your clients. You can curate collections for specific clients, and you can keep out-of-date media online, but out of public view.

We know what you need, and we’ve created it.

Our Process

What's the process if I want to sign up?

Features

Individual user accounts

Nobody can access your images without you giving them permission. Once logged in, they can see only what you want them to see, and only download what you want them to download (Optional add-on).

Your content, your plan

You choose how you organise your content. Want to arrange by date order? No problem. By client? Go for it. You choose the folders and sub folders that suit you. You can store high-res images, film and documents (such as PDFs and Word documents).

Collections

You can also create collections to give you further control over how you present your assets to clients. For example you may have a folder of the whole shoot, or selected, or anything.

Download control

Users can select as many images as they want to download in bulk, or they can download one at a time. They can choose different size images to download. Every user has to accept your terms & conditions when they log on. This is crucial.

Hidden content

Are you keen to keep all your images together, but allow your clients to only see their shoots? You control access permissions to individual media and folders. This can be used to control what rates your users can see - with different users having access to only the relevant rates. This is an optional feature.

Your branding

When you sign up, we will customise the portal to align with your brand. We can change the colours, logo and the fonts. This is included in the setup costs, and means that your portal fits seamlessly with your brand.

Frequently asked questions

COSTS

Answer

We charge a one-time setup fee, which includes us styling the portal to your brand.

Thereafter we charge a monthly cost, which is dependent on the size of your library and the bandwidth you require. This cost covers your storage, bandwidth, and maintenance. Please contact us for rates.

How long will it take to be set up?

Answer

Setting up a new portal normally takes a week. In times of heavy demand this might be longer, but we will notify you at the outset if that’s likely. Once set up, you just need to upload your media and you’re ready to go.

What URL will the library sit on?

Answer

This is up to you. We can either put it on a standalone URL (eg. www.yourcompany_mediaportal.com) or as a subdomain of your main website (eg. www.yourcompany.com/mediaportal). Either way, we will need to work with your IT manager to launch the portal once it’s ready to go live.

Is my library backed up?

Answer

Your entire library is backed up on a daily basis and protected against loss. In the unlikely instance of asset loss, we are able to perform a full restore of your library.

How many people can I give access to my account to?

Answer

The number of users you give access to is linked to your payment tier (because this affects the number of downloads) but theoretically there is no limit to the number of account holders to your library.

Is there a limit to media file size?

Answer

Theoretically, we think our limits are above what you’re likely to hit, but for operational reasons, we suggest sticking to:

ImagesMax 12,000px at the longest length.

FilmMax 300Mb file.

DocumentsMax 300Mb file.

To ensure smooth operation for everyone, bulk downloads are restricted to images up to a maximum of 1,920px (which is suitable for all full-screen online use). Images at higher resolution, as well as film and documents are only available to download individually.

Should you regularly need to exceed these limits, we can set up a specific plan for you.

What type of media does the portal support?

Can I request extra features?

Answer

We are constantly evolving the library, and will regularly notify you of any updates we’re about to release. If there’s a specific feature that you can’t live without, let us know and we’ll see if its possible and if so, provide a quote to implement.

What support will I receive?

Answer

We will be on-hand to help you set up your library. We will customise your library to your brand colours, fonts and logos, and we will explain how to use your library. Once up and running it should be very low maintenance, but our UK-based studio will provide ongoing comprehensive support.

Can I cancel my subscription?

Answer

You can cancel your subscription at any time. If you haven’t got your media assets backed up elsewhere we can do a one-time transfer of your whole library, but we will require 30 days notice. There will be a £375 admin charge to make the transfer. If you simply want to shut down your account, there will be no fee.

Once it’s shut down however, all media will be deleted from our servers within 30 days.
